How much does it cost to equip a café, pizzeria and restaurant in 2026: a line-by-line budget

01Why the first estimate is almost always wrong

The first estimate is usually a list of the big items: oven, fridge, coffee machine, dishwasher. Add them up and you get a reassuringly small number. Then come the “details” — water filter, GN containers, a second fridge, the extraction hood, an electricity upgrade, 300 glasses and 60 chairs. Together these details often cost as much as the big equipment.

That is why this article splits the budget not by brand but by line item — everything you need to welcome guests on day one. Each line has three levels and a link to the relevant YOUR HORECA category with current prices.

How to read the numbers in this article
  • All prices exclude VAT. The tables show the total with Latvian VAT of 21% for reference — in Lithuania it is also 21%, in Estonia 24% and in France 20%. A VAT-registered business recovers it, but it has to be in your cash flow from day one.
  • Economy — equipment you can safely start with while turnover is still unknown. Standard — what we recommend to most new businesses. Premium — higher output, longer service life, branded equipment, design.
  • Each concept includes a 10% contingency for installation, connections and unexpected extras. Experience shows it always gets spent.
  • Fit-out, rent, licences, staff and working capital are not included in these tables — see section 06.

02Café for 30 seats: coffee, pastries, light snacks

In a café the budget revolves around the bar, not the kitchen. The espresso machine and grinder determine product quality and queue speed; the pastry display drives sales. The kitchen is minimal: a convection oven for bake-off croissants and pastries, a panini grill and a sandwich prep station.

Our tip for cafés

If the budget is tight, don't skimp on the grinder — save on the number of groups instead. One group with a good grinder will deliver 100–150 cups a day with consistent taste; two groups with a cheap grinder will deliver more, but worse coffee. You can add a second group later by moving to a bigger machine and keep the old one as a backup.

03Pizzeria for 40 seats with takeaway

In a pizzeria everything starts with the oven, and the oven choice sets the budget level. A two-deck electric oven with a stone base costs around €1,300–2,200; a wood-fired Neapolitan oven from €3,100 (compact BABY series) to 15–17 thousand for VERACE models. The difference is not only price: a wood-fired oven needs a flue, fuel storage, an experienced pizzaiolo and a different layout.

In a restaurant the kitchen drives most of the budget. The key decision is the combi oven: it replaces several other appliances (steamer, partly the range and grill), but costs as much as several appliances together. Where restaurant budgets most often blow up
  • Extraction and make-up air. Make-up air is the first thing cut from the project, and then the hood works at half capacity. See our steam hood category and ask us for an airflow calculation.
  • Electrical capacity. A combi oven, induction, dishwasher and blast chiller together easily exceed the existing connection. An upgrade is a separate project with its own timeline.
  • Cold room. One upright fridge won't be enough for a 60-seat restaurant — either two or three fridges or a cold room. The cold room must be planned with the premises, not afterwards.
  • The second set. GN containers, pans and boards should be bought so that one set is in the dishwasher and the other in use.

The “per seat” figure is a quick sanity check for your estimate. Even at economy level, restaurant equipment costs about €583 per seat. If your estimate is much lower, something is probably missing — usually extraction, refrigeration or tableware.

06Equipment is only part of the total opening budget

International studies of restaurant opening costs typically put equipment and smallwares at around a fifth of the total budget. One of the broadest reviews (a survey of 350+ independent restaurants) gives this split:

Proportions vary by country — fit-out and rent in the Baltics are often cheaper than in Western Europe, while equipment prices are similar. The practical takeaway: if you have set aside 40 thousand for equipment, the whole project budget must be considerably larger and must include working capital for at least three months. It is the lack of it, not expensive equipment, that most often stops a new business in its first year.

08Where you can save and where you must not

Stainless steel furniture. The GREDIL budget series is AISI 304, HACCP-compliant and costs considerably less than custom furniture.Refrigeration. A cheap fridge that can't hold +3 °C in summer is a direct risk at inspection and in product losses.

09How to finance: buy, rent or borrow

Equipment rental

We rent out fryers, grills, induction hobs, ovens, dishwashers, refrigerated counters, ice makers, coffee machines (including SCHAERER) and bain-maries. Equipment is checked by our service team before delivery, and we can help with connection if needed. Rental makes sense for a seasonal terrace, events and equipment whose need has not yet been proven.

Loans and leasing

National development institutions offer start-up loans and guarantees: ALTUM in Latvia, INVEGA in Lithuania, EIS in Estonia, Bpifrance in France. As an example, the Latvian ALTUM start-up loan (for companies registered no more than 7 years ago) offers:

  • a loan of up to €250,000;
  • up to 10 years for equipment, up to 3 years for working capital;
  • a fixed interest rate from 4.9%;
  • at least 10% own contribution for investment projects.
What this means in practice

A standard restaurant equipment package (€73,092 excl. VAT) with a 10% own contribution and a 10-year loan at 4.9% means a monthly payment of roughly €695. That is less than the monthly cost of one employee — and worth comparing with the income the equipment allows you to generate.

How much does it cost to equip a small café?
At economy level, equipment and smallwares for a 30-seat café come to about €13,630 excl. VAT (including the 10% contingency), at standard level about €27,564. A very small takeaway coffee point with no seating and no oven can manage with less than half of the economy option.
Do the prices include VAT?
No. All prices exclude VAT. The last row of each concept table shows the total with Latvian VAT of 21%; in Lithuania the rate is 21%, in Estonia 24% and in France 20%.
What to buy first if money is tight?
Everything that ensures food safety and the core product: refrigeration, the main cooking appliance (oven or coffee machine), the dishwasher and extraction. An ice maker, juicer, blast chiller and design displays can be added in a second phase or rented.
Is used equipment a safe option?
Yes, if it has been checked by a service team and spare parts are available. The best candidates are mechanically simple, durable appliances — ovens, mixers, stainless furniture. Be careful with used refrigeration without a known history.
Electric or wood-fired pizza oven — which pays back faster?
Electric: it costs from €1,339 to €2,199, needs no flue, and staff can be trained in a few days. A wood-fired oven (from €3,110) pays back in a concept where Neapolitan pizza is the main product and the oven is part of the experience.

How long does it take to equip a café or restaurant?
In-stock equipment can be delivered quickly — your manager confirms the exact date. For custom stainless furniture and hoods, allow 3–6 weeks after drawing approval, so it is worth starting the project during construction.
How to finance the equipment?
The three most common routes: own funds, equipment rental, and a loan or leasing. National development institutions (ALTUM, INVEGA, EIS, Bpifrance) offer start-up loans and guarantees. Compare several offers before deciding — this article is not financial advice.
